SaaS renewal checklist: price, seats and terms
Go through this list 60 to 90 days before each renewal date, or earlier if your contract has a long notice period.
Dates and terms
- Renewal date and notice period. Many contracts renew automatically unless you give notice by a set date. Put that date in your calendar.
- Auto-renewal clause. Find out whether the renewal price is capped, or "then-current list price".
- Billing period. Monthly or annual? Is there a discount for annual billing, and a commitment that comes with it?
What you pay for
- Seats in use against seats paid. Export active users from the admin console, and remove leavers before the renewal is counted.
- Plan fit. Do you still use the features of your tier? Did a feature you rely on move to a higher tier?
- Add-ons. List add-ons and usage-based charges separately from the base plan.
Price
- Compare your contracted price with the current list price for the same plan, currency and billing period.
- Check what changed since your last snapshot. Look for repriced, new and removed plans.
- Keep the currency of the contract, and note taxes separately.
Decide
- Renew as is, renegotiate, downgrade, or replace. Write down why, for next year.
The free SaaS price diff compares an earlier and a current price list (CSV or JSON) in your browser. It shows each repriced plan with its percentage change, plus new and missing plans.
The diff uses only the prices you enter. See the price tracking guide for how to keep those lists.
