Refund tax reconciliation checklist for online stores
A short, repeatable month-end routine for the tax side of refunds. It finds entries to review; it does not decide tax treatment.
Not tax advice. Use this list to prepare questions for your bookkeeper or accountant.
Data to pull
- Every refund in the period, with its order ID and refund ID.
- The tax on each refunded line item.
- Tax on refunded shipping, and on duties where they apply.
- Order adjustments recorded with the refund. In Shopify's API these are
orderAdjustments, each with its own tax amount. - Manual tax entries made in your store admin or your accounting system for the same refunds.
Checks
- Same amount, two sources. Does a manual tax entry exactly match an automatic one on the same refund? That is the classic double count.
- Partial refunds. For partially refunded orders, does the refunded tax follow the refunded items, rather than the whole order?
- Shipping. If shipping was refunded, is its tax handled once?
- Currency. Are amounts compared in the same currency? Shopify money bags hold both shop and presentment currency.
- Timing. Refunds processed after month-end belong to the next period. Shopify records
processedAton each refund. - Reversals. Was a duplicate already reversed? Then do not correct it again.
Record and repeat
- Keep a list of refunds you reviewed and what you decided.
- Run the same check on the same columns every month. A consistent export makes this a few minutes' work.
For the "same amount, two sources" check, paste order_id, refund_id, source, tax_amount rows into the free RefundTally check. It flags manual and automatic entries with the same amount on one refund.
It runs in your browser and makes no store connection. It is a heuristic, not proof of double taxation.

Paste refund tax entries and see refunds where a manual and an automatic tax entry share the same amount, which is worth reconciling.
